Introduction

This Privacy Notice is intended to provide information regarding the use of personal

data in relation to delegates who have registered for the ‘Sustainable Anaesthesia

Ambassador Programme’ run by Vets for Pets, part of Pets at Home Limited (“Pets

at Home”, “Company”, “we” or “us”).

Vets for Pets/Companion Care is one of the largest small animal veterinary groups in

the UK.  The terms "we", "us" or "our" in this Privacy Policy refers to:

  • Pets at Home Limited (including our retail stores, retail website and apps, the
  • Groom Room and VIP Club);
  •  Pets at Home Vet Group Limited;
  •  Companion Care (Services) Limited;
  •  Companion Care Management Services Limited; 
  •  Vets4Pets Limited; and our network of affiliated joint venture first opinion veterinary practices branded either Vets for Pets, Companion Care or Vets4Pets,

This Privacy Notice applies to all course delegate personal data related to

registration that is processed by the Company or the 3 rd party platform, regardless of

whether it is maintained in electronic format or in a structured filing system.

Identity of the Data Controller

Pets at Home Limited is the data controller responsible for processing your personal

Lawful Basis and Purposes for Processing Personal Data

For educational purposes we collect, store, use and otherwise process personal data

to update course delegates about the sustainable anaesthesia ambassador

programme. The lawful bases for processing include:

 a) for us to pursue our legitimate interests, including but not limited to the purposes

of the sustainable anaesthesia ambassador course administration

b) for us to contact you about future CPD releases, sustainability updates or job

opportunities if you have given explicit consent for us to do so.

We will notify you of any changes to information we collect or to the purposes for

which we collect and process it in this context by updating this Privacy Notice from

time to time.


Categories and Sources of Personal Data that We Process

This Privacy Notice covers any of the personal data that candidates submit to the

Company for the recruitment process. This may include but is not limited to the

following information:

 a) Your name, contact details and status (e.g. employed, locum, student, retired)

 b) Details of your veterinary qualifications or status (e.g. veterinary student)

c) Geographical country of origin.

 Pets at Home collects this information through the sustainable anaesthesia course

sign-up page.

We process limited amounts of special categories of your personal data in order to

comply with our legal obligations, when necessary for the purposes of carrying out

obligations and to make reasonable adjustments for candidates with disabilities.

Data Sharing: Intra-Group and Third Parties

A delegate’s personal data may be shared internally within the Pets at Home group

of companies as part of the registration process and communication process for

future sustainable anaesthesia course releases or communications.

A delegate’s personal data will be stored on one of our secure servers and may be

shared with other companies within the Pets at Home group.

We will not use your personal data for any purpose other than the sustainable

anaesthesia ambassador programme for which you have registered unless you gave

explicit permission at the time of sign-up.

Your Rights

The UK General Data Protection Regulation provides you with certain rights in

relation to the processing of your personal data, including to:

 a) Request access to personal data about you (commonly known as a “data subject

access request”). This enables you to receive a copy of the personal data we hold

about you.

 b) Request rectification, correction, or updating to any of the personal data that we

hold about you. This enables you to have any incomplete or inaccurate information

we hold about you corrected.

 c) Request erasure of personal data. This enables you to ask us to delete or remove

personal data where there is no good reason for us continuing to process it. You also

have the right to ask us to delete or remove personal data where you have exercised

your right to object to processing (see below).


 d) Request the restriction of processing of your personal data. This enables you to

ask us to suspend the processing of personal data about you (e.g. if you want us to

establish its accuracy or the reason for processing it).

 e) Request the transfer of personal data provided by you (“data portability”), to the

extent applicable in the recruitment context. This enables you to ask us to provide

you, in machine-readable format, personal data that you have provided to us for

transfer to another controller.

 f) Object to specific types of processing in some circumstances, including direct

marketing, processing based on legitimate interests, processing for research or

statistical purposes, and decisions based solely on the basis of automated decision-

making, including profiling.

These rights are not absolute and are subject to various conditions under:

 i) applicable data protection and privacy legislation; and

 ii) the laws and regulations to which we are subject.

Where processing is based on consent, you have the right to withdraw your consent

at any time. This will not affect the lawfulness of any processing carried out before

you withdraw your consent. Should you wish to stop receiving emails or opt out of

with OPT OUT in the subject header.

You also have the right to file a complaint with the UK Information Commissioner’s

Office (“ICO”) if you are not happy with the way Pets at Home processes your

personal data and our response to your request.

To exercise any of these rights, please contact our Data Protection Officer by

Data Retention

Your details will not be kept for longer than is necessary for the sustainable

anaesthesia ambassador programme, in which case all relevant data will be

transferred to our People Team in accordance with our Colleague Privacy Notice. If

you do not continue with future releases of the course your details will be deleted

after twenty-four (24) months unless you consent to us retaining your details so that

we can update you on similar CPD opportunities.
